This article explains how to create invoices for projects within Thulo Cloud and the different options available for structuring invoice items.

Benefits of Invoicing from Project Area:

It's recommended to create invoices directly from the project area using the "Invoice Project" button. This ensures all project invoices are tracked and easily accessible.

Project Invoice Structure:

Thulo Cloud offers three ways to structure invoice items based on your project billing type:

  • Single Line (Not for Task-Based Billing):
    • Item Name: Project Name
    • Description: Lists all tasks with their corresponding logged time. (Used for fixed-cost or retainer projects)
  • Task per Item (Not for Fixed Cost Billing):
    • Item Name: Project Name + Task Name
    • Description: Shows total logged time for each billable task.
  • All Timesheets Individually (Not for Fixed Cost Billing):
    • Item Name: Project Name + Task Name
    • Description: Details individual timesheets with start time, end time, and total logged time for each billable task.

Selecting Tasks for Billing:

Thulo Cloud allows you to choose which project tasks to include on an invoice. Click "See tasks that will be billed on this invoice" to view and adjust the selection as needed.

Incomplete Tasks:

Tasks marked as "Not Complete" will appear when you check billable tasks. Additionally, tasks without timers but marked for billing will be flagged with a red message.

Tasks with Future Start Dates:

By default, tasks with future start dates are not included for billing. You can manually select them for inclusion if necessary.

Important Notes:

  • All billed tasks will be automatically marked as "Finished" (without notification to assigned staff).
  • Once a task is billed, you cannot start timers or bill it again. Recreate the task if additional billing is required.
  • The invoice currency will default to the project's currency, unless the customer has a different currency set in their profile.

By understanding these options, you can create clear and accurate invoices for your projects within Thulo Cloud.
